Foreign Accounting Outsourcing

Bookkeeping, reconciliations, month-end close and year-end support for businesses and accounting firms in the US, UK, UAE, Canada and Australia, delivered from India on the client's own systems.

Overview

Businesses and accounting practices abroad face a shortage of qualified bookkeepers and rising costs. The firm provides an India-based team, supervised by Chartered Accountants, that works directly in the client's cloud accounting system during hours agreed to overlap with the client's working day.

Our role is accounting and reporting support. Tax returns, filings and attestations in the client's country are signed and filed by the client's own licensed professional, such as a CPA, chartered accountant, enrolled agent or registered tax agent. We prepare the workpapers that make their review quick.

Engagement models

  • Dedicated accountant – a named team member assigned to the client for a fixed number of hours each month.
  • Monthly close package – a defined scope of bookkeeping, reconciliations and reports, delivered by a fixed date each month.
  • Project basis – catch-up books, clean-ups, software migration or year-end support.

How the engagement works

  1. Discovery call – we understand the business, the software, the volume of transactions and the reporting needs.
  2. Engagement letter and NDA – we define scope, timelines, access rights and data-handling terms.
  3. Onboarding – we take user-level access (no shared passwords) and document processes in a client-specific SOP.
  4. Parallel month – we close one month alongside the client or their previous bookkeeper to confirm the process.
  5. Steady state – we close each month to a checklist, with CA review before reports are released, and hold a monthly review call.

Data security

  • Work is done only within the client's systems. Client data is not downloaded to personal devices.
  • Each team member uses individual logins with multi-factor authentication. Access is removed immediately when a person leaves the engagement.
  • Confidentiality obligations are covered in employment contracts and the client NDA.
  • Personal data is handled in line with India's Digital Personal Data Protection Act, 2023 and the client's own data protection obligations.

Outsourcing Your Bookkeeping to India: How a Chartered Accountant-Led Engagement Works

3 October 2026 · 3 min read · CA. Reet Darwani

Accounting firms and growing businesses in the US, UK, UAE, Canada and Australia increasingly use India-based teams for their bookkeeping and month-end work. Done well, the arrangement gives you timely, reviewed books and frees your local team for advisory and client work. Done badly, it creates rework. This article explains how to set it up well.

What can be outsourced and what should stay local

Well suited to outsourcing

  • transaction coding and bookkeeping in QuickBooks Online, Xero, Zoho Books, Sage, NetSuite or MYOB
  • bank, credit card, payment gateway (Stripe, PayPal) and marketplace (Amazon, Shopify) reconciliations
  • accounts payable processing and vendor statement reconciliation
  • accounts receivable, invoicing and collections tracking
  • month-end accruals, prepayments, fixed asset registers and depreciation
  • management accounts and KPI reporting
  • year-end workpapers and lead schedules for your accountant
  • clean-up of backlog books and software migrations

Better kept with your local licensed professional

  • signing and filing tax returns, such as IRS returns or HMRC filings, VAT returns and BAS
  • audits, reviews and other attestation work
  • tax advice requiring local licensing, and representation before local tax authorities

Under this division, the Indian team does the accounting and preparation work. Your local professional reviews it and takes regulatory responsibility.

Three engagement models

Model Best for
Dedicated accountant – named staff for a set number of hours each month Accounting firms with steady client volume; businesses with daily transactions
Monthly close package – fixed scope and deadline each month Small and mid-sized businesses with predictable volume
Project – fixed deliverable Catch-up books, clean-ups, year-end crunch, migrations

Time zones are an advantage

India Standard Time is 9½–10½ hours ahead of US Eastern time, 4½–5½ hours ahead of the UK, and 1½ hours ahead of the UAE. Work sent at the end of a US or UK business day can be processed overnight and is ready the next morning. A daily overlap window of two or three hours is usually enough for questions and review calls.

Data security: what to ask for

  1. Work inside your systems. The team should work in your cloud accounting software and document tools, not on local spreadsheets or email attachments.
  2. Individual user access with MFA. Never share a master login. Each team member gets their own user, so access can be removed and changes traced to a person.
  3. Least privilege. Give bank feeds read-only access. Do not grant payment authority unless it is specifically agreed and controlled.
  4. A written NDA and data-handling terms in the engagement letter, covering India's Digital Personal Data Protection Act, 2023 and your own obligations, such as GDPR or UK GDPR where relevant.
  5. Offboarding – a defined process to revoke access on the day a person leaves the engagement.

What a good monthly close looks like

  • Agreed cut-off and delivery dates, for example management accounts by the fifth working day
  • A close checklist for each client, signed off each month
  • Review by a Chartered Accountant before reports are released
  • A query log in place of scattered emails, so open items are visible
  • A short monthly call to discuss the numbers, not just the process

The Indian side: regulation of the service provider

For the Indian firm, accounting services to overseas clients are an export of services:

  • Under GST, the export is zero-rated and is supplied under a Letter of Undertaking without payment of IGST.
  • Under FEMA, fees must be received in foreign currency through banking channels within the time allowed. The bank issues an inward remittance certificate.
  • A firm of Chartered Accountants is regulated by the Institute of Chartered Accountants of India and follows its Code of Ethics, including its rules on confidentiality and independence.

Getting started

Begin with a discovery call to agree scope and software access. Then run a parallel month, in which the outsourced team closes a month that you also close, so you can compare results before switching over fully. Most clients settle into a steady monthly rhythm within two or three months.
